Privacy and data handling

This page explains what Medvoyal collects, why we use it, and the limits we place on sharing medical-travel inquiry information.

Information we collect

When you contact Medvoyal, we may collect your name, email address, country, preferred contact method, planning timeline, preferred China city, hospital department or care area, and the planning notes you choose to provide. We also record limited source data, such as the page or guide that led to the inquiry and campaign parameters.

Do not submit passport numbers, insurance IDs, full medical records, payment-card details, or urgent medical information through a public Medvoyal form.

Companion profile applications

A companion application may include the applicant's name, city, language ability, service experience, availability, pricing approach, service areas, profile photo, introduction, and internal contact details. Internal contact details are used for review and profile maintenance and are not published automatically.

Each WeChat or WhatsApp channel requires separate publication permission. A companion profile is published only after the applicant confirms the final English draft and the specific contact details approved for public display. Published profiles are scheduled for review every 30 days and may be corrected or removed on request.

The companion application form is explicitly masked from Microsoft Clarity session replay. Analytics events record only categorical page, placement, channel, and outcome fields; they do not include form text, names, phone numbers, WeChat IDs, or WhatsApp numbers.

How we use inquiry information

  • Respond to your non-urgent medical-travel planning inquiry.
  • Understand the city, department, timing, language, and logistical support needed.
  • Contact a hospital international department only after you approve what may be shared.
  • Protect the service from spam, abuse, and technical failures.
  • Measure which public guides and pages produce useful planning inquiries.

Hospital sharing and medical records

Medvoyal does not send your inquiry to a hospital automatically. We first identify the proposed summary fields and ask for your permission. Hospitals may then request records through their own secure intake channel. Medvoyal does not diagnose conditions, interpret records, recommend treatment, or guarantee that a hospital will accept a case.

Service providers

Medvoyal uses service providers to host the website, deliver email, understand website performance, and prevent abuse. Current providers may include Vercel, Resend, Google Analytics, and Microsoft Clarity. These providers process limited data under their own terms and security practices.

Local development and Vercel Preview deployments do not send analytics to Medvoyal's production analytics property. Production analytics must not contain names, contact details, message text, or medical history.

Retention and deletion

Inquiry correspondence is retained only as long as reasonably needed to respond, coordinate an approved request, resolve safety or abuse issues, and meet applicable record-keeping obligations. You may request access, correction, or deletion by emailing us. Minimal records may be retained where necessary for security, legal, or fraud prevention purposes.

International processing

Medvoyal serves people in multiple countries. Your information may be processed in a country different from where you live or shared with a China hospital only after your permission. Do not authorize hospital sharing until you are comfortable with that hospital's intake and privacy process.

Children

Medvoyal's public inquiry service is intended for adults. A parent or legal guardian should contact us when planning care for a person under 18.
